DECISION GUIDE / Assets & tasks
How do I keep returned old packaging out of a new-only product promise?
A switch to new-only packaging is not permanent evidence that old packs can no longer ship. Returns, warehouse transfers, or late stock discoveries can reintroduce the earlier version. Before releasing that stock to an offer promising the new pack, verify its packaging revision and the actual allocation path. If the seller cannot preserve the promise, hold the affected dispatch or revise the public offer through its authorized process.
Treat stock re-entry as a new decision
Fictional exercise: a seller has confirmed that ordinary fulfillment supplies only the new package and updates its product gallery accordingly. Later, a returned unopened unit with the old pack arrives, while another warehouse proposes transferring older stock. Neither event has yet been approved for resale or dispatch.
This is a post-cutover exception, rather than the initial choice of images while both versions routinely ship. The question is whether a specific incoming unit or batch may re-enter the allocation path behind an existing new-only promise. An unchanged SKU name does not answer it.
Follow the seller's actual inspection, return, resale, and stock-handling requirements. Being unopened does not by itself establish condition, authenticity, resale eligibility, or the packaging version the listing promises.
Trace the re-entry path before releasing stock
Record the incoming source, observed package revision, approved handling status, destination location, and the offer that could allocate it. Ask whether the actual fulfillment process can keep that pack separate from orders promising the new appearance. Do not assume a stock status or a note in a spreadsheet controls allocation.
Shopify distinguishes inventory states. Those states do not by themselves establish packaging identity, return eligibility, or which batch a particular order receives. The worksheet below is a manual seller decision, not a connected Itemlume inventory control.
| Re-entry event | Missing evidence | Decision before allocation | Responsible owner |
|---|---|---|---|
| Old-pack return | Inspection and resale decision | Keep outside the new-only dispatch path until resolved | Authorized returns owner |
| Transfer from another warehouse | Confirmed packaging revision and destination route | Verify routing before release | Fulfillment owner |
| Old stock found locally | Whether it can enter current orders | Identify affected allocation path | Warehouse owner |
| Revision cannot be established | No reliable pack identity | Do not assert that the new-only promise remains supported | Offer owner |
Choose an operational or public-offer remedy
For the fictional return, first obtain the actual condition and eligibility decision. If the unit is eligible for resale, the seller still needs an approved route that does not send the old pack against a new-only promise. A manual ledger cannot create such a route where the store or warehouse lacks one.
Possible decisions include retaining an authorized operational hold, using a genuinely separated offer where supported, or revising the public packaging promise before further affected orders. The responsible seller must choose from its real capabilities. Do not create a new SKU, alter an existing order, or promise a buyer substitution merely to complete this example.
- Identify the incoming unit or batch privately and record its actual packaging revision.
- Obtain the authorized inspection and resale decision separately.
- Trace whether any new-only offer could allocate this stock.
- Ask the fulfillment owner to confirm an implemented separation or other appropriate remedy.
- Have the offer owner review any necessary gallery or wording change before affected dispatch.
- Recheck the actual route after the authorized decision; do not treat the spreadsheet as enforcement.
Close the exception without reopening the wrong promise
Keep the incoming-stock observation, handling decision, allocation evidence, and any revised public wording together. Use the team's own review times and responsibilities; no universal withdrawal interval or completed release is asserted here.
Before marking the fictional exception closed, confirm what happened to the returned and transferred stock. A new-only gallery can remain only where the actual applicable dispatch path continues to support it. A returned pack being present in a building does not automatically mean a false order has shipped.

Frequently asked questions
Does returning an unopened old pack automatically make it available to sell again?
No. Obtain the actual authorized inspection and resale decision, then separately check whether its packaging matches the offer that could dispatch it.
Must I remove the new gallery whenever an old pack enters the warehouse?
Not automatically. Establish whether that stock can enter the applicable new-only order path. If separation cannot be supported, the seller must resolve dispatch or the public promise before affected fulfillment.
