DECISION GUIDE / Packaging studio
What should I do when approved warning copy does not fit the packaging layout?
When approved warning copy does not fit a packaging panel, do not silently shorten it or reduce its size until the text becomes unreadable. Preserve the authoritative wording, identify the actual space conflict, and request a layout decision from the responsible reviewer. Check text overflow, missing characters, language versions, and the final physical proof separately.
Treat approved wording as controlled content
A warning may be longer than the area reserved for it, especially when several languages share a small package panel. The designer's job is not to decide which warning words can disappear.
Fictional exercise: a package carries an approved two-language warning. After the text frame is shortened, a negation disappears from one language. The remaining sentence could convey the opposite instruction. This is an invented production exercise, not an actual print defect.
Unlike organizing bilingual reading order, this task protects an already approved statement against loss during layout changes.
Diagnose the space conflict before editing
Preserve the complete approved text in an external reference sheet. Compare the intended copy with the visible layout character by character, including negations, punctuation, numbers, and language-specific characters.
Preflight tools can report configured production errors, including overset text and missing resources. A zero-error result does not establish that the approved wording remains complete or readable.
| Observed problem | Manual verification | Risk | Decision |
|---|---|---|---|
| Text frame too short | Compare with approved source | Missing warning content | Hold |
| Negation absent | Check exact source sentence | Meaning reversed | Reject |
| Very small lettering | Inspect intended physical size | Reduced readability | Escalate layout |
| Preflight shows no errors | Inspect visible copy and proof | Undetected content loss | Manual review required |
Change the layout before changing approved meaning
First examine whether the warning block can receive more space through panel reallocation, revised hierarchy, or removal of nonessential decorative content. Preserve each language's approved wording while exploring these alternatives.
If the proposed solution changes font size, panel location, wording, or another controlled condition, obtain the appropriate owner's approval. Do not invent a universal legal minimum type size; the applicable requirements and production constraints need specific review.
Itemlume packaging outputs are raster concepts, not print-ready dielines. Final text placement, preflight, and print production must be completed externally.
- Freeze the exact approved warning text for each language.
- Identify the affected panel and actual text-frame dimensions.
- Run the configured preflight checks in the external layout tool.
- Compare every visible character with the approved source.
- Prepare a larger or reorganized layout without changing meaning.
- Escalate unresolved fit and readability decisions to the responsible reviewer.
Approve the physical proof, not the error count
Review the final packaging artwork at its intended physical size and in the relevant assembled context. Check every language independently, including text near folds, edges, and adjacent graphics.
Some hidden or overset conditions may not be fully reflected in an error listing. Therefore, the reviewer must inspect the actual text and compare it with the controlled source even after preflight passes.
Record the approved copy version, layout revision, language reviewers, production proof, and unresolved issues. If any material word is missing or the necessary review remains incomplete, stop production release.

Frequently asked questions
Can I delete a few words so the approved warning fits?
Not without an authorized wording review. Preserve the approved statement and first examine layout alternatives.
Does a zero-error preflight report mean the warning is ready to print?
No. Preflight depends on its configured checks and does not establish complete wording, applicable compliance, or physical readability.
