How to approve a batch of SKU creatives without mixing variants

Approve a batch by exact SKU, placement and file version rather than by the campaign name alone. A release matrix makes partial readiness visible: one variant can be approved while another waits for a corrected image. Itemlume creates and records individual assets; the batch approval method described here is an external team process, not automatic publishing.

01 / HOW TO APPROVE A BATCH OF SKU CREATIVES WITHOUT MIXING VARIANTS

Make each approval cell name a specific deliverable

Rows should identify the sold SKU or variant, not a vague collection label. Columns should identify the destination and role, such as storefront hero, vertical social image or product-video cut. Inside each cell, record the exact file version and its review state. This prevents an approved beige pouch from becoming implied approval of every color in the collection.

In an illustrative four-color pouch launch, three storefront images are ready but the navy video still shows the old zipper pull. A campaign-level note saying approved obscures that difference. A cell naming navy vertical clip, revision 2, held for closure accuracy gives the publishing teammate a practical decision without requiring them to interpret every generation attempt.

02 / HOW TO APPROVE A BATCH OF SKU CREATIVES WITHOUT MIXING VARIANTS

Separate shared decisions from variant-specific evidence

The collection can share typography, a layout grid and an approved seasonal message. Each SKU still needs its own product appearance, included contents and applicable facts. A shared visual direction does not establish that every generated variant has the correct shade or accessory. Review the reusable design once, then inspect the factual differences deliberately.

Keep common copy and SKU-specific statements distinct in the record. If only the large pouch fits a named device, do not inherit that sentence into the small pouch’s export. The same principle applies to image reuse: a close-up of one closure can represent another variant only when the real construction and intended description justify that use.

03 / HOW TO APPROVE A BATCH OF SKU CREATIVES WITHOUT MIXING VARIANTS

Use states that explain why a cell is blocked

StateMeaningNext owner
Source neededAuthoritative variant reference is missingProduct or merchandising team
In reviewA particular delivered version needs inspectionNamed reviewer
Approved for this placementExact version and message are acceptedPublisher
HeldA recorded defect prevents this usePerson responsible for the repair
PublishedApproved version is actually livePublisher confirming the destination

These are suggested external states, not Itemlume task-status labels. A generation can succeed technically while its output remains held editorially. Conversely, an approved still may be ready for a listing while its related video is still being processed. Keep those two status systems distinguishable.

04 / HOW TO APPROVE A BATCH OF SKU CREATIVES WITHOUT MIXING VARIANTS

Release a coherent partial batch when appropriate

Partial release is useful when its remaining content accurately represents what is available. The team can publish three approved pouch variants and hold the fourth, provided navigation, offers and product availability remain coherent. Do not describe a missing variant as visually approved or quietly substitute a different color to make the matrix look complete.

Name any dependency that prevents partial release. A collection comparison image containing all four variants cannot be approved if the navy representation is wrong. A separate approved beige hero may remain useful. Frame.io’s versioning documentation shows why maintaining inspectable revision history matters; a newer upload alone is not an approval decision. 05 / HOW TO APPROVE A BATCH OF SKU CREATIVES WITHOUT MIXING VARIANTS

Close the matrix against the files actually published

Before publication, match each destination to its approved filename or version reference. After publication, confirm the rendered creative and record the actual placement. This last step catches a common operational error: the reviewed file was correct, but an older export was selected in the storefront or ad manager. Approval should follow the delivered artifact, not the folder’s most recent timestamp.

For the pouch batch, preserve the held navy clip with its reason and publish only the explicitly approved cells. When the zipper issue is corrected, review that new version before changing the cell state. This method provides a clear way to coordinate many assets without promising that Itemlume automatically synchronizes SKUs, launches campaigns or enforces team approval gates.

QUESTIONS, ANSWERED

Frequently asked questions

Does a successful generation mean a SKU is ready to publish?

No. Technical completion and approval for a particular placement are separate states.

Must the entire batch wait for one defective variant?

Only when a shared dependency requires it. Approve or hold exact deliverables and consider a coherent partial release.

Does Itemlume publish the matrix automatically?

No. This guide proposes an external review and release method; it does not describe an automatic campaign-publishing feature.
