DECISION GUIDE / Packaging studio

How do I keep barcode, artwork and market versions paired through packaging production?

When packaging has different market versions, approve each barcode and artwork combination as one controlled production record. Match the complete issued identifier, language, artwork revision, file identity, and intended market before printing. Repeat the reconciliation when finished packs arrive. Never invent barcode numbers or assume every language or market change automatically requires a new identifier.

01 / DECISION GUIDE

Treat each market pack as an approved combination

A correct barcode can appear on the wrong packaging version. A correctly translated panel can also be paired with an identifier belonging to another approved product record. The production decision concerns the complete combination, not whether each individual file looks valid.

Fictional exercise: Market A and Market B have separately approved packaging artwork and distinct identifiers supplied in their fictional master records. A printer accidentally selects Market A artwork with Market B's identifier. Both elements are genuine within the exercise, but their combination is unauthorized.

This differs from managing variable batch or date placeholders. The identifiers and market artwork here are fixed, approved production inputs that must remain paired.

02 / DECISION GUIDE

Build a market-to-artwork reconciliation matrix

Create one master row for each approved packaging combination. Record the complete identifier exactly as issued, intended market, language set, artwork revision, file hash, approval owner, and permitted production job.

The GS1 identifier-management reference provides a framework for identifier decisions. It does not mean every language or market change automatically requires a different identifier. Use the actual approved master data.

03 / DECISION GUIDE

Reconcile the exact files before printing

The production coordinator should compare the supplier's proposed artwork file with the authorized master, rather than relying only on a filename or thumbnail. Record the file hash to distinguish exact digital versions.

A matching hash confirms file identity within the chosen comparison method; it does not independently establish that the master data is correct. The complete printed identifier and all market-specific text still require review.

Itemlume can help explore raster packaging concepts, but does not create approved print dielines, assign identifiers, or synchronize production records.

  1. Obtain the approved identifier and artwork master for each market.
  2. Record the complete identifier, language set, revision, and file hash.
  3. Match the printer's proposed files to the authorized combination.
  4. Check the actual barcode representation and surrounding market text.
  5. Ask the designated owner to approve the exact production job.
  6. Hold printing whenever a pairing or file identity remains unresolved.

Repeat the check when printed stock arrives

An approved digital proof does not establish that the correct packaging was delivered. At receipt, compare labelled physical samples with the job record, including the visible identifier, language, artwork revision, and supplied batch reference.

If an unexpected combination appears, isolate the affected stock for investigation rather than correcting only the online image. Record the observed mismatch and the supplier's response.

Keep the approved master, release record, received sample reference, and reviewer decision together. A later market expansion or packaging revision must trigger a new pairing review.

QUESTIONS, ANSWERED

Frequently asked questions

Does translating packaging automatically require a new barcode identifier?

Not automatically. Follow the applicable identifier-management decision using approved product master data rather than assuming a universal rule.

Does a matching file hash prove that the printed pack is correct?

No. It helps identify a digital file. The approved identifier pairing and received physical packaging still require separate checks.
